Menu scheduling

Run happy hours every week, and change beers, playlists and promotions on a date without being there.

Scheduling does two jobs:

  • Happy hours & specials: prices that come and go every week, like $1 off from 4 to 6 on weekdays.
  • Scheduled changes: one-off changes on a date, like a beer going on tap Thursday morning or a promotion joining the bar TV for the weekend.

Set up a happy hour

Name the deal

Under Happy hours & specials, click New deal and enter a Name.

Set the price

Under Deal, pick Dollars off, Percent off or Set price, enter the amount, and tick the pours it covers: Full pour, Half pour, Sampler.

Pick the beers

Under On, choose Every beer, Chosen beers or Menu sections.

Pick the time

Under Days, tap the days or use Every day, Weekdays or Weekends. Under Hours, leave All day on or set a start and end; a window that ends after midnight runs into the next morning. Dates (optional) limits it to a stretch of the calendar; leave them empty to run it every week until you pause it.

Check and save

While it's on lists each beer's price during the deal. Click Add deal.

While the deal is on, your TV menus, playlists and web embeds show the deal price. When it ends, they go back to each beer's own price. The beers' prices never change, and print menus always show the beer's own price.

Use the switch next to a deal to pause it. Delete stops it straight away and can't be undone. If two deals cover the same pour at the same time, the lower price wins. Times follow your brewery's time zone.

Schedule a change

Pick the target

Click Schedule a change. Under Target, pick the Entity type (Beer, Alternative Item, TV Menu, TV Playlist or Promotion) and the Target. Every action in one batch applies to that target.

Add actions

Under Actions, pick an Action. Use Add action for more; they run in order.

Pick when

Under Schedule for, set the Date and Time.

Undo it later (optional)

Turn on Expiration to reverse some of the actions afterward: Offset (so many minutes, hours or days later) or Absolute (a date and time). Tick which ones under Actions to revert. Add to Playlist, Set Tap Number and Set Featured can be reversed this way. Then click Schedule.

TargetActions
BeerSet Availability, Set Tap Number, Remove from Tap, Set Featured, Update Fields… (prices, description and more)
TV PlaylistAdd to Playlist, Remove from Playlist, Change Item Duration, Reorder Playlist, Update Fields…
Alternative Item, TV Menu, PromotionUpdate Fields…

Scheduled changes run within a minute of their time.

A promotion for the weekend

Target the bar TV's playlist, pick Add to Playlist with the promotion, schedule it for Friday at 4 PM, and set an expiration for Sunday night that reverts it.

Track what ran

Scheduled changes lists every action with its Status: Pending, Completed, Failed or Canceled.

StatusWhat you can do

A batch can be edited only while none of its actions has started.
