Take payment

Add guests and take their money by hand, by card, by link or at the door, and read the order behind every guest.

Every sale on a paid event is an order: one name with one or more seats, and everything they've paid and been given back. You add guests yourself from an event's Guests tab, and take their money however it comes in.

The guest list

Each row is one order, with a pill that says where its money stands:

Add guests

On the Guests tab, click Add guests. It works any time, not only at the door.

Say who

Who takes a name, or an @handle for a PintDeck Taste member (pick them from the list). Email is optional, for their tickets and receipt.

Pick the seats

Seats counts up and down, with the total beside it and how many spots are left.

Say how they're paying

Under How are they paying?, pick one of the five ways below, then click the button, which says what it will do, like Add 2 guests · $50 paid.

On a free event (an RSVP or an invitation) there's nothing to pay: pick the seats and click Add 2 guests, or however many it says.

For money that came in outside PintDeck. Pick how under How they paid: Cash, Check, Venmo, Zelle, Cash App, PayPal, Card on your reader or Other. The field after it follows what you pick: a check number for a check, a transaction ID or @username for Venmo, the last 4 or receipt number for your reader. Cash asks for nothing.

Received is today unless you change it, for a check that came in the mail last week. With an email filled in, leave Email a receipt on to send one.

Take a card

The seats are held, and your processor's card form opens in the same window (Stripe's, or Square's if Square takes your ticket cards). It's for a guest at the counter or on the phone. Close it without paying and the seats are let go. A declined card says why under the form, and you can try another.

Hold the seats for 24 hours, 48 hours, 7 days or Until the doors, never past the doors. With an email, Email it to sends them the link. Either way you get the link to copy and a QR code to hold up for them.

The link is their ticket, too: once they've paid, the same page shows their seats with a door code, so they don't need the app. If the hold runs out before they pay, the seats go back on sale, to the waitlist first. Within 30 minutes of doors, links can't hold seats: take a card, or keep them for the door.

At the door

Their seats are kept, and they owe the total. When they arrive, the door asks for it. See At the door.

Comp

On the house, with a reason under Why ("Brewer's guest"). Comps are for admins and the owner.

Taste members

Add a member by their @handle and the seats show up in their PintDeck Taste app with a notification. If they still owe, their ticket says so and they can pay from it.

Take payment later

On a row that owes, click Take payment. Choose Paid by hand, Take a card or Send a link. By hand, the button says what you're recording, like Record $40.00 cash. Someone can pay in parts: the pill shows what's paid and what's left.

To send or resend the link on its own, open the row's … menu and choose Send their link… (or Resend their link…). For seats still held, pick how long to hold them. Just show the link skips the email.

The order

Click a guest's name (on iPhone, tap the row) to open their order. Across the top: Seats, Total, Paid (or Kept after a refund) and Status. Below:

  • Money: every payment and refund, with how it was paid, who took it and when. Card payments show the card and the processor's fee, and what you kept. A declined card shows as Declined, with the reason.
  • Seats: each seat and where it stands: Reserved, In, Held while they pay, Given back.
  • Guest: their @handle on Taste, email and when they were added.

The header has Take payment while they owe, and Refund… when there's one payment to refund. The … menu has:

  • Check payments again: asks Stripe or Square directly, for a payment or refund that didn't show up on its own.
  • Send their link… (or Resend their link…), Copy their link and Copy email.
  • Cancel reservation, for an order nobody paid toward. Its seats go back on sale, to the waitlist first.

Fix a mistake

A payment recorded by mistake (the wrong amount, the wrong guest) can be voided: in the order, open the payment's … menu and choose Void entry…, then say what was wrong. It stops counting and the guest owes it again. No money moves, so use a refund if you actually gave money back. Only money taken by hand, not yet refunded, can be voided. Voiding is for admins and the owner.
