How a quote is priced

How each line of a private event's total is worked out, what the buyout top-up does, and where your tax, gratuity and menu prices are set.

A quote's total is built from your pricing settings (tax, gratuity, buyout targets and three small menus) and what you enter on the quote. This page is the arithmetic, line by line, so you can explain any number to a customer.

Who counts

  • Adults are the guests who aren't kids.
  • Drinkers are the adults who aren't non-drinkers. With Charge non-drinkers on in your settings, every adult is a drinker.

Drinks are priced per drinker, food per adult and per kid.

The lines, in order

DrinksDrink Tickets: drinkers × tickets per drinker × the ticket's price. Open Bar: drinkers × the package's price per guest; past the package's base hours, each extra hour adds its extra-hour price per guest. Cash Bar and No Beverage: nothing.
FoodAdults × the food option's price, plus kids × that price × your kids food multiplier.
Min spend feeWith Apply minimum spend on: what food and drinks fall short of the Minimum spend amount. Add-ons and fees don't count toward it.
Add-onsEach line's unit price × its quantity.
Venue feeAs entered.
Room rental (auto)With Closed to public on: what everything above falls short of the target. Nothing when the party already spends more.
SubtotalAll of the above.
GratuitySubtotal × your gratuity rate.
TaxSubtotal × your tax rate. With Apply gratuity before tax on, tax is on the subtotal plus gratuity.
Grand totalSubtotal + gratuity + tax. Per guest is the grand total ÷ guests.

The buyout target

A party that closes the taproom is held to a minimum before gratuity and tax. The target is the quote's Custom revenue target if it has one, otherwise your Weekday or Weekend target, by the quote's Day type. The room rental line makes up the difference.

An example

A Saturday party of 40 with 4 kids and 6 non-drinkers, closed to the public: three $8 drink tickets per drinker and a $13 food option. The settings are the ones every brewery starts with: a $2,500 weekend target, a 0.7 kids food multiplier, 20% gratuity and 8.3% tax.

When prices change

The quote prices itself from your settings as they are now. Open or print a quote after changing a price, and it shows the new price. The totals in the Quotes list and the tiles are the ones from the last time the quote was saved, and saving it again brings them up to date.

Re-check quotes you've sent

After changing a price, open each quote you've already sent and check its total before printing it again.

Your pricing settings

Pricing settings are edited in PintDeck Business for iPhone: Calendar › Plan › Bookings, then the $ button at the top. Change what you need and tap Save.

Every brewery starts with sample prices: 8.3% tax, 20% gratuity, a $1,000 weekday and $2,500 weekend target, a 0.7 kids multiplier; food options at $0, $13 and $17; open-bar packages (Beer & Wine, Well and Premium) at $18, $24 and $32 per guest for two hours; and one $8 drink ticket. Set your own before you send your first quote.
